Privacy Policy
Who we are
ClearNotes is run by ClearNotes in Ontario, Canada. You can reach us at privacy@clearnotes.net.
What we collect
- Account details: your email address and your password. Your password is handled by our sign-in provider and is not stored in readable form.
- What you create: lecture and meeting titles, course or project names, transcripts, your notes, and summaries.
- Usage counts: how many AI requests you make each day and how many minutes of enhanced transcription you have used, so we can apply limits and your free minutes.
- Settings kept in your browser: your color, font, text size, language, and whether you have seen the welcome message and tour. These stay on your device.
We do not save audio recordings. Audio is used live to produce text and is not kept by ClearNotes.
How audio becomes text
- Enhanced transcription: your microphone audio is streamed to Deepgram, our transcription provider, while you record. We ask Deepgram not to use your audio to improve its models.
- Browser transcription: your browser's own speech recognition is used. In Chrome and Edge this normally sends audio to the browser company's servers, under that company's privacy policy.
How the AI features work
When you ask a question, press a study or summary button, or when a summary is made automatically after you stop recording, we send the relevant transcript text, your notes, and your question to Anthropic, which provides the AI model (Claude). Under Anthropic's commercial terms, content sent through its API is not used to train its models.
Who else handles your information
- Supabase: sign-in, and the database where your lectures are stored. Data is stored in the United States (East US, North Virginia).
- Deepgram: speech-to-text for enhanced transcription.
- Anthropic: the AI model.
- Hosting and email providers: Cloudflare serves the website, and Resend sends sign-up and password emails.
- Google Fonts and jsDelivr: the page loads fonts and a code library from these services, which means they can see your IP address when the page loads.
We do not sell your information or share it for advertising. We may disclose information if the law requires it.
Who can see your lectures
Only you, when you are signed in. The database is set up so each account can read and change only its own lectures. The people who run ClearNotes can technically access the database for maintenance and support, and will only look at your content if needed to fix a problem or to meet a legal duty.
How long we keep it
We keep your information until you delete it. Deleting a lecture in the app removes it from our database. To delete your whole account and everything in it, email us at privacy@clearnotes.net and we will do it within 30 days. Backups may keep copies for a short time afterwards.
Your choices and rights
You can ask to see, correct, or delete the personal information we hold about you by emailing us. You can delete lectures yourself at any time, and you can use browser transcription instead of enhanced transcription.
Cookies and local storage
We use your browser's storage to keep you signed in and to remember your settings. We do not use advertising or tracking cookies.
Children
ClearNotes is not meant for children under 13, and we do not knowingly collect their information.
Security
We use reasonable measures to protect your information, including encrypted connections and per-account access rules. No service is perfectly secure, so we cannot promise absolute security.
Recording other people
If you record other people, you are responsible for getting any permission you need. See our Terms of Use.
Changes
If we change this policy in a meaningful way we will update the date above and, where we can, tell you in the app or by email.
