Terms of Use

Last updated: October 14, 2026

The short version. ClearNotes turns speech into text and uses AI to help with notes. It can make mistakes, so check anything important. Only record where you are allowed to, and tell people you are recording. You own your content.

1. Agreeing to these terms

By creating an account or using ClearNotes you agree to these terms and to our Privacy Policy. If you do not agree, please do not use the service. ClearNotes is run by ClearNotes (“we”).

2. The service is in beta

ClearNotes is an early version. Features can change, and the service may be unavailable at times or contain bugs. We work to keep it running but cannot promise it will always be available.

3. Your account

You must give a real email address and keep your password private. You are responsible for what happens under your account. You must be at least 13 years old.

4. Recording and other people

Laws and rules about recording differ by place, school, and workplace. You are responsible for making sure you are allowed to record, for telling the people you are recording when you need to, and for following any rules from your school, instructor, or employer. Do not record private conversations, confidential meetings, or anyone who has not agreed where agreement is needed.

5. Acceptable use

Do not use ClearNotes to break the law, to harass or harm anyone, to record people unlawfully, to upload content you have no right to use, to try to break or overload the service, to get around the limits on free minutes or AI requests, or to create accounts to collect free minutes repeatedly.

6. Your content

You own your transcripts, notes, and summaries. You give us permission to store and process them, and to send them to our speech-to-text and AI providers, only as needed to run the service for you. See the Privacy Policy for details.

7. Transcripts and AI can be wrong

Speech recognition and AI make mistakes, including with names, numbers, accents, and technical terms. Summaries and answers may leave things out or be incorrect. Always check important information against the original source. Do not rely on ClearNotes for medical, legal, financial, or safety decisions.

ClearNotes is a helpful tool and is not a certified accessibility service. If you need captioning or notes as an accommodation, do not rely on ClearNotes as your only way to access what is being said.

8. Free minutes, limits, and future prices

New accounts get 90 minutes of enhanced transcription for free. Browser transcription has no minute limit. AI requests are limited each day. We may change these limits and may introduce paid plans. If we start charging for something that is free now, we will tell you before it applies to you, and you will not be charged unless you choose a paid plan.

9. Ending your use

You can stop using ClearNotes and ask us to delete your account at any time. We may suspend or close accounts that break these terms or put the service at risk.

10. No warranty

ClearNotes is provided “as is” and “as available”, without promises about accuracy, reliability, or fitness for a particular purpose, to the extent the law allows.

11. Limit of liability

To the extent the law allows, we are not responsible for indirect or consequential losses, lost data, or missed or inaccurate notes, and our total responsibility for any claim is limited to the amount you paid us in the 12 months before the claim, or $50 CAD if you paid nothing. Nothing here limits rights you have under law that cannot be limited.

12. Governing law

These terms are governed by the laws of Ontario and the federal laws of Canada that apply there.

13. Changes

We may update these terms. If we make a meaningful change we will update the date above and, where we can, tell you in the app or by email. Using ClearNotes after a change means you accept it.
